This guide will walk through how to use ROLLER's template studio, so you can customize your email and ticket templates like a pro!

Email templates
To customize your email templates, follow the steps below.
- From Venue Manager, go to Settings > Design > Email templates.
- From here, you'll find a list of all email templates available in ROLLER, with a Description, as well as when each template was last Modified.
- Select the options menu (3 dots) at the end of each row, and then select Edit template, to edit the template that requires adjustment.
- In the top right of the page, you can toggle the display to see how the email appears on Desktop and Mobile/Cell phones.
There are three tabs you can select when customizing an email template: Content, Style and Settings. Keep reading to learn more about each tab.
Email: The Content tab
From the Content tab, you can edit the email panels (sections) and the content within those panels. For example, the following panels are available in the confirmation email template:
Panel | Description |
---|---|
Greeting | This panel includes your main heading and the master ticket QR code. This panel is mandatory and cannot be removed, it will always be at the top of the email design. |
Event details | From this panel you can adjust date and location information. |
Product instructions | From this panel you can adjust the heading name that precedes your product instructions. |
Order | From this panel you can adjust information relating to the itemized breakdown of an order. |
Form | From this panel you can link any forms attached to the product configuration, and adjust the heading and button wording as needed. |
Waiver | From this panel you can leave a message that encourages customers to sign the waiver before attending your venue. The heading, paragraph and buttons are all editable. |
Venue info | From this panel you can make any logo adjustments, and venue information can be updated here. This panel is mandatory and will always be at the bottom of the email design. |
Optional panels that can be added in:
Custom panel | This allows you to add any information, perfect for marketing offers. |
Gift card promo | Promote a specific gift card URL (for example, special Christmas vouchers). |
Terms of entry | Will populate any related product terms and conditions. |
Edit email panels
To edit individual panels, select the panel you want to edit and follow the instructions below.
- Adjust all fields such as headings and button labels.
- For any paragraph text, there is an editor that allows you to bold, italicise, underline, use bullet points, numbering, add links and populate variables. Selected variables will pre-populate the information for the booking such as booking information, gift card details, payment information, venue information and waiver details.
- Some panels have toggle switches that allow you to add or remove elements such as the master ticket QR code in the example below.
- Select Save when you're done.
Rearrange email panels
Panels can only be rearranged when they are not expanded. Hover over the panel and select the up and down arrows to change the hierarchy of the panels in the email template.
Remove email panels
Hover over a panel that isn't expanded and the delete option (trash can icon) will appear. Select to remove the panel from the email template.
Add custom email panels
Only one of each default panel can be added to the template except for the custom panel. For the custom panel, you can add more than one of these. Follow the instructions below.
- Scroll towards to the bottom of the panel list and select the Insert panel option.
- Select a type of panel you want to add from the dropdown, then select Add.
- From here you can edit the content or rearrange the panel as per the instructions above.
- Select Save when you're done.
Email: The Style tab
From the Style tab you can customize the colors used in your emails. Toggle the following settings:
Use venue colors | Use the venue colors you've defined in your account settings. |
Reverse primary and secondary colors |
Reverse the primary and secondary colours that you've defined in your account settings. The primary color is used for buttons and links and the secondary color is used for headings. |
Email: The Settings tab
From the Settings tab you can customize your emails further. You can edit the following sections:
Subject line | The subject line is the first thing seen by recipients when an email arrives in their inbox. You can edit this, along with any variables you might like to add. |
Insert variable |
Select the variables you would like to add to your email's subject line. |
Attachments |
You can add PDF, text or images as attachments. The total size of all attachments must not exceed 10MB per email. Attachments can include things like the invoice PDF or marketing offers. |
Select Save when you're done.
In the top-right corner of the screen, select Send test email to receive a copy.
Enter an existing booking ID and in the Send to field, the email will pre-populate to the default, but this can be edited to be sent to another address.
Select Save to publish the changes.
Revert to the default template
To revert back to the default template, select the options menu (3 dots) in the top right of the page, and then select Revert to default.
A pop-up modal will ask for confirmation.
Ticket PDF attachment template
The booking confirmation email template serves as a ticket and can include a QR code for easy entry scanning.
It comes with a PDF ticket attachment. You can choose to remove this from the email, or follow the steps below to edit the PDF ticket.
- From Venue Manager, go to Settings > Design > Ticket templates.
- From here, you'll find a list of all ticket templates available in ROLLER, with a Description, as well as when each template was last Modified.
- Select the options menu (3 dots) at the end of each row to edit the template that requires adjustment.
- You can then edit the content in the same way you would an email template. The following panels are included in each ticket template and cannot be removed or rearranged:
Header Customize the format, logo and ticket instructions. Ticket detail
You have the option to rename headings and include or remove the product name.
Booking detail
Adjust titles, showing invoice details, product information and additional content.
Footer
Adjust address details.
- Select Save when done.
Edit ticket template panels
To edit individual panels, select the panel you want to edit and follow the instructions below.
- Adjust all fields such as headings and button labels.
- For any paragraph text, there's an editor that allows you to bold, italicise, underline, use bullet points, numbering, add links and populate variables. Selected variables will pre-populate the information for the booking relevant to the platform such as booking ID, booking details, venue details and more.
- Some panels have toggle switches that allow deactivating or activating elements such as hiding the Purchase date from the Ticket detail section.
- Select Download ticket preview to see the customized ticket.
- Select Save to publish updates.
You can select the options menu (3 dots) in the top right of the page to Revert to default to change the template back to the ROLLER standard template.
A pop-up modal will ask for confirmation.
