Session passes in ROLLER let guests book time-based activities throughout the day. These passes can be customized in duration and linked to various resources like activity zones, rooms, or cabanas—each with a set capacity. This helps manage the number of tickets available per session, allocate necessary resources, and prevent overbooking, ensuring smooth operations.
Each session pass includes ticket variations, allowing flexibility in ticket types and pricing (eg adult, child, student) for the same session.
Follow these steps to create and customize new session passes effectively.
When to use
Session passes are perfect for venues with timed activities and multiple daily sessions. They accommodate various ticket types and help optimize your venue capacity for activities like:
- 1-hour jump sessions
- Escape rooms
- VR sessions
- Lock-in events
- Go-kart races
- Axe-throwing
- Playgroups
These passes are perfect for ensuring smooth operations and a great guest experience by balancing the flow of guests into your venue and timing of activities (eg start every 30 MINS for a 1 HR session).

Step 1: Create a new session pass
To get started with creating a new session pass to sell at your venue:
- From Venue Manager, go to Products > Create product.
- Select the Session pass product type.
- The session pass product settings open for you to customize. Read on for more information on the options you have.
Step 2: Add the content
In this section, enter the basic product information:
- Name (required): This is the name guests see online and staff see at POS.
- Description: Add a short description (150 characters max) for online checkouts.
- Detailed description: Provide more information which guests can access via a "Learn More" link in online checkouts.
- Image: Upload an image that makes the product stand out from other products online and at POS (JPG or PNG, 640 x 390 pixels or 5:3 aspect ratio).
- Tags: Use tags to manage and group products, such as automatically adding new products to sections you've added using tags in online checkouts. Create new tags or select existing ones from the drop-down menu.
Step 3: Add the session pass details
Configure the following settings for the session pass details.

Session duration:
- Enter the session duration in minutes.
- Session duration can't be changed after saving.
- This duration will apply to all ticket variations you add to the product.
- If you have different durations for the same activity, create separate products.

Resource:
- Select the resources required to manage capacity (the number of people who can book into the activity).
- You can choose one or more individual resources or resource groups.
- Resource groups automatically allocate bookings to the resources within the group, prioritizing those with smaller capacities first. If all resources have the same capacity, they are assigned based on their order in the list.
- To add a resource group, simply select the group name.
Step 4: Create ticket variations
Create the product's ticket types with different prices, such as adult, child, concession, peak, off-peak and group tickets for the activity.
Start by selecting the placeholder variation (General admission). Then customize the following options.
- Name and Price (required): Enter the ticket name and price. Set the price to 0 if it's free.

Resource (required): Select Resource to expand the ticket's resources table. You'll see one row for each resource you selected in the Session pass details section above. Any resource groups you selected will have its own row.
- Change a resource: Select a different resource from the drop-down menu. If the resource isn't appearing in the ticket's resource drop-down menu, you'll need to add it the product's resource drop-down above first. See section above.
- Add resource: Select Add resource to add a new resource to the ticket as a new row in the resource table.
- Delete a resource row: Select the trash can icon.

Allocate time spent in each resource: For activities with multiple resource rows, set start and end times (eg 0-30 minutes, 30-60 minutes). See the relevant section below for more details.

Consecutive sessions (optional): Allow guests to book multiple sessions at discounted prices.
- Add the number of additional sessions that guests can extend their visit by.
- Add a discount for guests for each extra session (either a fixed amount or a percentage).
- Consecutive sessions can only happen if the end time of one session matches the start time of a subsequent session. This requires that the session durations are consistent and that they start and end at the same times (for example, every 30 or 60 minutes).
- You must also configure the setting Allow guests to choose session duration in the checkout settings Options tab. Guests will then be able to see a drop-down next to the ticket allowing them to increase their session duration by what is specified here.

- Description (optional): Add specific information for the ticket variation that guests can optionally review during online checkout.

Advanced(optional): Choose from the following options:
Setting Description Min & Max purchase limits Set limits on the number of tickets that can be purchased for a ticket variation in a single online transaction.
Minimum: If you set a minimum of one ticket without specifying a maximum, guests can buy up to the full capacity of the resource linked to the ticket.
Example: For a "Group 10+" option, you can require a minimum purchase of ten tickets at $10 each (totaling $100). Guests can then add more individual tickets at $10 each if desired.Make ticket compulsory Require guests to purchase a specific ticket when buying any tickets in this product.
Example: If adult supervision is required, you might make an adult ticket mandatory, possibly pricing it at $0.Group ticket Create a ticket variation that allows multiple guests to enter on a single ticket (eg family pass or party group).
Example: To sell a ticket for a family of four for $100, enter "4" in this field. ROLLER will issue four tickets, deducting four spaces from the resource's capacity.Tax override Set a product tax rate different from the default rate set in your venue settings. Override image (POS only) Use an image different from the product image for a ticket variation in POS. Hide from online sales Hide the ticket type from online sales, making it only available for sale through POS or Venue Manager. -
Save the variation, then select Create variation for additional ticket variations and repeat the relevant steps above.
You can create up to a maximum of 20 ticket variations per session pass.
Step 5: Set the sales availability (optional)
Sales availability controls the purchase window for session tickets, allowing you to control the initial release of tickets and set a cut-off time before each session begins (eg to avoid last-minute purchases and give you and your staff time to prepare).
- Default: The session pass is available for sale immediately upon creation and until 1 hour before the session starts.
- Start date: Set a different start date for sales if needed.
- Cut-off date: Choose when to stop online sales before each session start time. This doesn’t affect POS or Venue Manager sales.
Keep in mind, setting sales availability alone doesn’t make the session pass available for purchase.
- You still need to create a product schedule to specify the days and times the tickets can be purchased.
- Additionally, you must add the session pass product to the online checkout and POS menus where you want to sell it.
Additional options
Customize additional features such as add-on upsell items to boost revenue during online checkout, and waivers that guests must complete before participating in the activity.

Confirmation required | Decide if bookings with this product are labeled with an unconfirmed booking status in ROLLER until manually confirmed by staff. |
Deposit |
Allow guests to make a partial payment by setting a deposit as a percentage of the total cost or a fixed amount for this product. Additional items like add-ons will not be included in the deposit calculation. |
Forms | Add one or more custom forms you've created in ROLLER to capture additional details for the booking. Guests will be prompted to complete the form post purchase in online checkouts. Select and apply the form from the drop-down menu. |
Instructions | Provide important instructions to guests about this product to display post-purchase in online checkouts, order confirmation emails and booking reminder emails. |
Minimum purchase | Set the minimum number of guest tickets required to purchase this product. Any ticket type included in the product counts toward the required number. |
Not for individual sale | Select this option when the product can only be purchased as part of a package product. |
Reporting category | Assign products to the reporting categories you've created in ROLLER based on general ledger (GL) codes. You'll need to create your reporting categories first to enable this option. |

Terms & conditions | Add specific terms and conditions for this product. These will appear after your venue's terms and conditions for guests to agree to in online checkouts. |

Waiver | If guests are required to sign a waiver prior to participating in this product's activity, select this option to link the venue's waiver. Guests are prompted to sign waivers post-checkout, in order confirmation emails and booking reminder emails. |
Save and go to schedules
Select Save and go to schedules to set the specific dates and times when sessions can be purchased.
If operating hours aren’t set, you’ll be prompted to create these first.
Once you've created your product schedules, add the session pass product to online checkout for guests to purchase online and POS device menus for your staff to sell.
Add resource groups
Resource groups simplify bookings by automatically assigning resources like party rooms, VR rooms, or laser tag rooms when guests book a session. This ensures that the right space is allocated based on capacity and availability, reducing manual work and preventing overbooking.
When guests book a session ticket linked to a resource group:
- Resources with smaller capacities are prioritized first, based on the number of tickets sold.
- If all capacities are equal, resources are assigned in the order they are listed (e.g., Room 1, Room 2, Room 3).
Check the booking rules set up for your resources
Make sure your resource booking rules are set correctly to avoid double bookings or overbooking.
- Use the single-booking rule for resources that need exclusive use, like a party room.
- Apply the multiple-booking rule for resources that can accommodate several guests until full, like trampoline arenas or VR experiences.
Review and verify these rules under Settings > Resources to make sure everything is set up properly.
Allocate guest time across resources for ticket variations
Set the start and end times for session pass tickets that involve multiple venue areas or attractions, assigning specific time slots for each resource in the order guests will use them.
For example, with a 90-minute laser tag ticket, guests might spend the first 15 minutes in a briefing room before moving to the laser zone for the remaining time.
