With ROLLER forms, you can create booking inquiry forms for your website, such as for large group bookings or corporate events. When guests submit their inquiries, they'll appear in the activity center in Venue Manager. From there, you can easily review and convert them into bookings.
To make sure guest inquiries reach the activity center, set the form type as Inquiry and make sure Activity center is selected in activity center notification settings. You can also set which staff roles can view new inquiries in these settings.
Convert inquiry to a booking
Here's how to create a booking from an inquiry submission in the activity center:
- From Venue Manager, go to Activity center.
- Select an inquiry submission to view guest details and responses in the right panel.
- Select Create booking at the bottom of the right panel.
This opens the Documents tab for a draft booking, which includes a link to the guest's inquiry form. The draft booking is not saved if you navigate away from it before reserving or placing it on hold. - Select the form to review the inquiry form responses.
- You can use the provided guest contact details to confirm details via email or phone.
- If you confirm details via email, you can use the booking activity stream to email guests. In this way, any guest email replies will appear in the activity center for you or your team to action.
- When ready to add items to the booking:
- Go to the Availabilities tab in the right panel.
- Use the guest responses in the form as a reference point.
- Select the booking date, find and select available products, session time, number of guests and other requirements.
- When you're ready, select Add [#] items to booking.
- Hold the booking tentatively for a set period of time or reserve it. The booking saves and its status updates.

Take payment or send an invoice
After creating the booking, you can take payment by selecting Take payment or send an invoice through selecting New invoice.

Mark an inquiry as actioned
- Go back to the activity center and hover over the inquiry.
- Select the ✓ icon to mark it as actioned.
- You'll be able to find this inquiry under the Done tab.
