With operating hours, you can quickly set your regular open and close times for each day of the week. You can also easily configure extended holiday hours, public holidays, or temporary closures with just a few clicks.
These hours can be applied as the start and end times for your product schedules, reducing the number of schedules you need to manage and allowing for bulk updates when operating hours change, saving you valuable time.
This guide will walk you through setting up and managing your operating hours, and once complete, you’ll be able to link product schedules to these hours.
What's the difference between standard hours & temporary hours?
Operating hours consist of standard hours and temporary hours.
- Standard hours: Your venue's usual open and close times, varying by day (eg closed Mondays, different hours on weekends).
- Temporary hours: Short-term changes for specific dates or periods (eg school holidays, public holidays, temporary closures). Overrides standard hours temporarily.
Create your standard hours
First, create a set of standard hours. These are your opening and closing times for each day of the week and any days you’re closed. Once set up, you can then create any temporary hours.
- From Venue Manager, go to Products > Schedules.
- If you're setting up a new venue and it's the first time you're accessing Schedules, the Operating hours view opens
- Otherwise, you can select Operating hours in the top right.
- Select the hours your venue is open each day and the days you’re closed
- Enter different hours if they vary each day.
- Switch off the Open toggle for any days your venue is closed.
- If you’re a new venue, then select the date your venue opens in the Venue opens on a future date field. This will then set any schedules you link to operating hours to begin from this date.
- Select Save.
- You’ll see a summary card of your operating hours.
- The days that have the same operating hours are grouped together.
- The calendar indicates the days you're closed.
- Any regular product schedules you link to opening and closing times will automatically adjust to fit within these hours. Any updates you make to these hours will automatically update all linked product schedules.
- The option to add any temporary hours and closures appears. Read on to learn how to set these up.
Create any temporary hours and closures
Next, you have the option to create temporary hours for your venue. For example, adjusted hours for school or public holidays, as well as closures for special events, maintenance or unforeseen circumstances like weather conditions.
Once you've set up your standard hours above, the temporary hours and closures option appears.
- Select Add.
- Enter a name for your temporary hours (eg Christmas holidays; extended hours) and description.
- From the Dates field, choose a single date (double-click) or date range for the temporary hours, then select Apply.
- If you've selected a date range, you can choose which days of the week to include:
- Keep Include every day of the week selected if the temporary hours apply Monday to Sunday.
- If you don't want to include every day, deselect the checkbox, then choose the days that don't apply.
- Update the temporary opening and closing hours for each applicable day.
- The default is for all days to be closed. Toggle the switch to open if you want to extend or decrease opening hours for the day.
- The temporary hours you select here only apply to the date, date range (and days or the week) you’ve selected for the temporary hours above.
- If you would like to exclude any dates from the temporary hours you've set up, as you're closed that day or have different temporary hours, you can (eg Christmas day).
- Select the options menu (3 dots) in the top right, then select Exclude.
- Select the date or date range you'd like to exclude.
- Select Save.
- Your temporary hours are automatically updated for the dates selected and highlighted in a different color in the schedules calendar. Any dates that are closed are also visually represented.
- You’ll see a summary card for your temporary hours and closures.
- Select Add to create any more temporary dates (eg Christmas shutdown period).
- Once the temporary period has passed, your operating hours will revert to your standard hours and the schedule session times available for guests to book.
Change your standard hours
You can make changes immediately to correct an error you may have made, or plan future changes.
- From Venue Manager, go to Products > Schedules.
- Select Operating hours in the top right of the page.
- Select the Standard hours card.
- Make any changes.
- Confirm changes will immediately update any session times available for purchase for any schedules linked to your opening and/or closing times.
For example, if you’ve decided to open on a previously closed day, all the session times for your linked product schedules will become available for guests to book on that day.
- If you want to prepare changes to your standard hours for a date in the future, select the date in the Changes take effect field, then select Save.
- A card appears with the planned future changes listed under your operation hours.
- Note that you can only make one planned future change.
- The schedules calendar shows days in a slightly different color.
- You can also edit the planned future change by selecting the card.
Change your temporary hours
- Select the temporary hours card.
- Make any changes.
- Select Save. These changes are applied immediately to any linked product schedules and the session times available for guests to book.
Delete temporary hours
For the temporary hours card, select the options menu (3 dots), then select Delete.
Create your product schedules using operating hours
