Product schedules set when sessions are available for guests to book. Linking them to your venue’s operating hours makes scheduling easier, reduces the number of schedules you need to manage, and keeps session times in sync when your trading hours change.
This guide will show you how to create product schedules using your venue's operating hours.
Access product schedules
You can access schedules in three main ways:
- From operating hours in Venue Manager, select Schedules at the top right.
- After configuring a session pass or party package product, select Save and go to schedules.
- From Venue Manager, go to Products > Schedules.
When to create schedules linked to operating hours
Once you've set up your operating hours, you can create four main types of schedules for your session pass and party package products.
| Schedule type | Description | When to use |
|---|---|---|
| Fully linked to operating hours | Sessions run at regular intervals from opening to closing times (eg every 30 mins). Varying opening hours across weekdays or holidays are automatically handled by operating hours. | Regular sessions (eg every 30 mins) with consistent tickets and resources. Ideal for day-to-day operation. |
| Partially linked to operating hours | Sessions run at regular intervals but with a start or end time that's not linked to operating horus. | Morning or evening sessions that only cover part of the day. |
| Not linked to opening and closing times | Sessions have fixed start and end times unrelated to operating hours. You can optionally allow bookings outside operating hours. | Special events or sessions that start early, end late, or sit outside regular hours. |
| Fully customized schedules | Session times, ticket types, and resources vary. Not linked to operating hours. Note that HQ accounts can't create customized schedules at the HQ level; they can only be created at the venue level. Learn more |
Custom events, irregular start times, or classes. Changes to operating hours don’t affect them. |
Create a schedule linked to operating hours
Before creating a schedule, make sure your operating hours are set up for standard and temporary periods (eg school holidays or closures).
Steps
- From Venue Manager, go to Products > Schedules.
- Select the product you want to create a schedule for, then select Create schedule.
- Give your schedule a name (eg Skate sessions - Mon to Sun) and description (optional).
-
Complete the setup options as follows.
Options Steps First session starts at Set the time you want your first session to start.
Default selection: Aligns with venue's opening time. Uncheck the default and set a different start time.Last session ends at Set the time you want your last session to end.
Default selection: Aligns with venue's closing time. Uncheck the default and set a different end time.
Sessions times are automatically generated based on session frequency below, session duration set up for the product and the start and end times for your sessions across the day.Session starts every Set how often sessions start, for example, every 30 minutes. Guests will be able to purchase tickets for sessions starting every half hour. Tickets and resources Displays tickets and resources per session, based on your product setup.
Tickets and resources must be consistent across all sessions to use schedules linked to operating hours.
You can edit individual tickets available by selecting the card and removing any tickets from the search fields. This will apply to all session times.Schedule period Choose the days you want the schedule to be available, subject to operating hours: Every day of the week, Selected weekdays or Custom dates.
For selected weekdays, uncheck unwanted days.
For custom dates, select the date (double click) or a date range from the calendar.Start date Choose the start date for Every day of the week or Selected weekday schedules. Not applicable to custom dates. Maximum booking window Set how far in advance guests can book (1–18 months or 1–366 days). The window rolls forward daily. (This setting is not applicable to custom date schedules that are set for a specific date or date range).
Consider when future changes to operating hours may change, particularly if seasonal, when determining the future booking window so guests don't book for dates that may not be available in the future. - Select Save.
Linked schedules automatically stay in sync with your operating hours. Any change to opening or closing times, including temporary ones, instantly updates the session times available for guests to book.
Types of schedule setups
Learn how to create other types of product schedules using operating hours or how to create fully customized schedules that are not linked to operating hours.
- Create regular peak and off-peak schedules fully linked to operating hours
- Create a regular schedule that's partially linked to operating hours
- Create a regular schedule that's not linked to opening & closing times
- Create fully customized sessions
- Create midnight sessions linked to operating hours
Limit bookings per session start time
Use this option to control how many bookings can start at the same time using the same single-booking resource (eg party tables or cabanas). This feature helps manage guest check-ins and arrivals during peak times to prevent overcrowding.
Single-booking resources are venue spaces or experiences that can only be reserved by one booking at a time (eg party rooms, party tables, cabanas).
To enable this option:
- Select Limit bookings per start time.
- Enter the maximum number of bookings for single-booking resources that can start at the same time.
Example:
Party Tables 1–5 are shared by Gold and Silver Party Packages. You set a limit of 2 bookings per start time.
If there’s already one Gold Party at 12 PM, one Silver Party can still be booked.
Once both are booked, no more sessions using Party Tables 1–5 can start at 12 PM.
The limit applies per resource, not per product.
Allow sessions outside of operating hours
Available for:
Regular schedules not linked to opening and closing times
Fully customized schedules
By default, sessions must fall within operating hours. Enable this option if you want to allow bookings outside these times — for example:
Special events (eg Halloween) starting after closing time
Private events before opening or after closing (often booked in via Venue Manager)
View operating hours and products for the day
- From Venue Manager, go to Products > Schedules.
- Select a date in the schedules calendar.
- A banner displays:
- Operating hours for the day (standard hours or temporary hours).
- Products available and their schedule times.
- Which products are linked or partially linked to operating hours.
Resolve schedule conflicts
When two schedules for the same product overlap on the same day, you’ll see a “Days already in use” message. This happens most often when you duplicate a schedule or create a new one without adjusting the days.
Why conflicts occur
You selected days already used in another schedule for the same product.
You duplicated a schedule and didn’t change its day selections.
You created a custom-date schedule that overlaps with another schedule’s dates.
How to fix conflicts
Option 1: Edit the schedule
Uncheck the conflicting days from the schedule period so only unique days remain.Option 2: Exclude days from conflicting schedules
You can remove the conflicting days from the schedule period, or select Exclude days from conflicting schedules, then confirm the change in the pop-up.
Example
If you create a Holiday schedule for Dec 20–Jan 5 and your Regular schedule already includes those dates for the same product, you’ll get a conflict.
Select Exclude days from conflicting schedules to move Dec 20–Jan 5 to your Holiday schedule. The Regular schedule will then automatically skip those dates.
