How to set up customized schedules for products that have sessions running after midnight so they show as late-night sessions for the previous day in online checkouts.
For example, sessions that run from 12 AM to 2 AM in the very early morning of Saturdays show up as late night sessions on Fridays in online checkouts. You may also want to customize sessions for Fridays so that you have sessions that run up until midnight available for guests to book.
Before getting started
Make sure you have all of the following ready to go for the product so that you can create its customized schedules.
- Set up your operating hours in Venue Manager. We'll need to allow sessions outside of operating hours when creating the after midnight schedules.
- Create resources for the product to manage venue capacity.
- Create the session pass product or party package product.
- Assign the resources to the product in its product settings.
- If you are an HQ account, you can't create customized HQ schedules at the HQ level. You can, however, create customized sessions at the venue level.
How late-night sessions appear in checkouts
Sessions that start after midnight can be configured to appear as part of the previous day’s late night session times in checkouts, so your guests won’t get tripped up by confusing date toggles.
Watch the video to see how they appear in online checkouts, then follow the steps in this guide to configure past-midnight sessions as late night sessions.
First, enable after-midnight sessions in checkout advanced settings
You'll need to enable after-midnight sessions in the progressive checkout advanced settings. This allows these sessions to show up as late-night sessions in checkouts.
- From Venue Manager, go to Progressive checkouts > Settings > Advanced.
- Select the option to display after midnight sessions in checkout as part of the previous day's late night sessions.
- Set the end time for these sessions (eg 2 AM).
Then, schedule the after midnight sessions as customized sessions
- From Venue Manager go to Products > Schedules and select the product you want.
- If the product's schedule has an existing schedule, remove any conflicting days or dates:
- Select an existing schedule.
- Deselect any conflicting days/dates for the actual day/dates you want to customize (eg Friday for sessions up until midnight, Saturday for very early morning sessions).
- Save your changes.
- Create the very early morning sessions (after midnight) for the actual day/date:
- Select Create schedule for the actual day/date of the early morning sessions (eg Saturday, 12 AM to 2 AM).
- Deselect all days except for the actual day/dates you need (eg Saturday for Saturday's early hours). This resolves any scheduling conflicts.
- Select the options menu (3 dots) at the top right, then Customize sessions.
- Set the First session start time and the Last session start time (eg 12:00 AM and 1:30 AM).
- Select the session intervals (eg every 30 MINS).
- Select Add sessions. The session times guests can book for each of the product's tickets and resources used are listed.
- Select Allow sessions outside of operating hours. You must select this option for sessions to display in checkouts.
- Sessions will show up on the previous day as Late night sessions in checkouts. They will also show up on the actual day as very early morning sessions.
- Add sessions for any other sessions on the same day.
-
Save the schedule.
- (Optional) Create customized sessions to midnight on the previous day:
- If you want sessions to extend to midnight on the previous day (eg Friday), create another schedule with customized sessions for that day.
- Again, make sure to select Allow sessions outside of operating hours.
- Finalize and check:
- Make sure the product is added to your online checkout.
- Preview the setup to see how it appears for guests.
- If you haven't already, add schedules for the other days of the week. If the session times are consistent across these days, and occur within your operating hours, create a regular schedule fully linked to operating hours.
If tickets are not appearing as options for guests to select, make sure you've added any new ticket variations you've created to the schedule.
