This article explains till sessions and the processes to open, close or edit a closed till session.
Till sessions overview
Till sessions are a convenient and effective cash management tool for venues to track the actions of POS operators for a period and to record any cash variance.
A till session is started at the POS device and can be closed from that POS device or via Venue Manager. When a till session is closed, the staff member is prompted to enter the cash total for the till session in order to calculate the cash variance.
During the session staff can record the addition or removal of cash via the Cash In/Out function. Closed till sessions can be edited at a later point in time from POS or Venue Manager.
Role permissions
In order to perform till session functions a staff member requires the following role permissions:
- Can cash in/out POS till is required to open or close a till session and to perform cash in/out
- Can edit reconciled till session is required to edit a reconciled past till session.
These role permissions are enabled by default for Administrator and Manager roles. Find more information on Managing Staff Roles.
Opening a till session
When permitted, you can open a new till session to track activity in a POS device. You cannot open a new till session on a POS device when a till session is already open.
If a POS Device is selected
- Staff can login to POS and make sales straight away. If there is no open till session, the first sale will automatically start a new till session.
If a POS Device is not selected
- Login to POS. You will be prompted to first select a POS Device before you can make a sale
- Click More > Settings > Device
- Select the appropriate POS device
- Click Settings > Current till session.
- If the POS device has an active till session - either continue with current till session or close it
- If there is no active till session - click Start till session
- Staff can now make sales
The starting balance of the till session is defined by the POS device setting 'Starting till balance' - find more information in Create a POS device. Use the cash in/out function to record any change to the balance.
Cash in/out
When a till session is active, staff members can record the addition to or removal of cash from the till via the cash in/out function in POS by:
- In POS, click More > Settings > Current till session
- Click the Cash in/out button
- In the Cash in/out pop up window:
- click + Cash in, enter the cash value and click submit to record the addition of cash to the till session
- click - Cash out, enter the cash value and click submit to record the removal of cash from the till session
Closing a till session
You can reconcile (close) a till session to prevent further activity and balance the till session.
Closing a till session in POS
- In POS, click More > Settings > Current till session
- Click Close till session button
- Enter the total counted cash (including your float) in the Cash in till field
- (optional) Select Use cash calculator to count each tender denomination separately. The total amount for each denomination will automatically appear, along with the total cash from all bills and coins added together.
- Click Submit to complete the count and close the till session.
The sales and revenue from the till session will be tracked and a summary can be printed by clicking Print button.
Closing a till session in Venue Manager
- In Venue Manager, click Apps > Point of Sale > Devices
- Find the correct POS device > click on the more button (3 dots) on the right side
- Select Manage Till from the drop-down menu
- Select the current till session > Click Close Till button
- Enter the total counted cash (including your float) in the Actual Cash Balance field
- Click Close till session to complete the count and close the till session.
The sales and revenue from the till session will be tracked and a summary can be printed by clicking Print button.
Editing a closed till session
Staff can edit a closed till session to modify the total cash counted. This action does not re-open the till session.
Editing a closed till session in POS
- In POS, click More > Settings > Past till sessions
- Find and select the closed till session to be edited > click the Edit till reconciliation button
- Enter the new cash total in the Cash in till field
- Click the Submit button to finalise
When a till session is edited, the change will be logged in till notes.
Editing a closed till session in Venue Manager
- Click Apps > Point of Sale > Devices
- Find the correct POS device > click on the more button (3 dots) on the right side
- Select Manage Till from the drop-down menu
- Find and select the closed till session to be edited > click the Edit Till Reconciliation button
- Enter the new cash total in the Cash in till field
- Click the Submit button to finalise
