If you require waivers to be signed by your guests, you can use the waiver functionality in ROLLER to capture the waiver information digitally.
You can link the waiver to a product so your guests who purchase online can sign it prior to arriving at your venue. Your guests can also sign the waiver electronically at your venue through a waiver kiosk or self-serve kiosk. A digital copy of the completed waiver is stored with the guest's record.
Here you'll learn how to create a waiver.
Configure a waiver
- In Venue Manager, navigate to Documents > Waivers > Waiver Details.
- Click Unlock to make changes.
- Give your waiver a Name. The name is guest-facing and will appear on apps such as the online waiver.
Add an explainer image
Under Explainer image add an optional full-width image to the top of the waiver, to help explain key information.
Configure waiver text
Under Content enter your waiver text into the text field. You can either type in the waiver text from scratch or copy and paste the content of the waiver from a text file.
Add checkboxes in waiver text
ROLLER's waiver functionality supports checkboxes throughout the waiver text. When added, your guests would be required to mark every checkbox before proceeding to sign the waiver.
To add a checkbox to a clause of your waiver text:
- At the start of the clause that must be checked, add the text [CHECKBOX]
- At the end of the clause and end of each clause that must be checked, add [/CHECKBOX]
Add hyperlinks to waiver text
You can add a hyperlink to your waiver text directing guests to your venue's website for additional information. When a guest clicks on a hyperlink in a waiver, that link opens in a modal window without any controls to input a URL.
Configure waiver settings
You can adjust waiver settings that affect how the guest completes your waiver.
|Require a signature||Select this option if you require guests to sign the waiver electronically. If not selected, guests only need to click a button to complete the waiver.|
|Display expiry date on signed waiver||
Select this option if you would like to show the waiver's expiry date in the completed document.
|Send waiver expiry reminder email to guests||Select this option to email a reminder to guests 2 weeks before their waiver expires, warning them the waiver is going to expire and inviting them to sign a new waiver.|
|Valid for||Enter in the number of days the waiver is valid, e.g. 365 days.
The validity period starts from the date the waiver is signed by the guest.
|Minimum age to sign waiver||Type in the minimum age required for a guest to sign a waiver for themselves. Guests under the minimum age are considered minors and will require a waiver to be completed on their behalf, typically this is done by a parent or legal guardian.|
Data capture and extra fields
By default, a waiver will capture the guest's email, name, and age (and each minor's name and age). With additional configuration, you can capture additional data by creating a custom form.
When selected an address field is added to the waiver flow which will be saved against the guest profile (not the signed waiver), where normally only the name, email address, and phone number of the guest is captured.
Address field will not appear if using custom forms.
Use custom form for waivers
If your venue requires additional questions to be answered during the waiver flow, you can create a form to collect additional details for guests to complete.
A separate form is required to be created for online waivers and waiver kiosks.
Once complete, click Save & publish new waiver to publish the changes you made. If you are publishing changes to an existing waiver, a pop-up modal will display the following options:
Expire all existing waivers
If the waiver has changed considerably or there are new legal requirements, we highly recommend expiring existing waiver holders so guests have to sign again.
If selected all guests who have signed a waiver previously will need to sign the new waiver.
Only save waiver
Save the updates you have made to the waiver without automatically expiring all active waivers.
Existing signed waivers will not be expired.
You can provide your guests with a link to sign the online waiver or complete the waiver by:
- In Venue Manager, navigate to Documents > Waivers.
- Click Get waivers link to open a pop up modal showing the URL's.

Link a waiver to products
After a waiver is created it can be linked to the products in order to mandate the completion of a waiver.
- In Venue Manager, navigate to Products > All products.
- Select the relevant product from the list.
- Scroll down and click Advanced settings.
- Under Waiver, select the waiver dropdown and choose your waiver.
- Click Save once complete.
If a guest purchases a product that is linked to a waiver, the guest will be required to complete the waiver used to redeem their ticket.
Sync waivers in POS
Waivers are automatically synchronised to ROLLER POS devices; However when expiring all existing waivers or adding a new POS device, we recommend that you perform a manual sync on each POS device to immediately update all waivers.
To perform full sync:
- In ROLLER POS, navigate to More > Settings > Check In.
- Select Perform full sync checkbox.
- Click Sync Waivers button. The volume of waivers may effect the processing time of the update.
